What We Know About You
If you have bought something directly from Presentation Media Limited or via our websites, www.presentationmedia.co.uk or shop.presentationmedia.co.uk, we would have collected your email address, phone number and address.
On paying for goods, you will be directed to our third party payment gateways and suppliers to process your transaction online or if you place an order over the telephone, we will send you a secure payment link via Stripe. If you choose to deliver items to a third-party (such as a customer, friend or relative) we will have their name and address.
Information is only used to help us deliver the parcels and contact you. From time to time, you may wish to receive our newsletter and special offers. You also have complete control over the information we store about you, and at any time, you have the right to ask us to delete any personal details stored. Your data is only used for our marketing purposes and to make sure we target only items that are relevant to you. The personal information we have for you is made up of what you tell us, and data we collect when you use our services, or from related third parties we work with, where you have made an enquiry on a manufacturer’s website and they forward your information to us so that we can provide the relevant product or service to you.

We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows: Identity Data includes First Name/Last Name/Username/Title; Contact Data includes Billing Address/Delivery Address/Email Address/Telephone Numbers for the purposes of delivering goods or services on behalf of you.
We do not collect any personal data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

For this we would need (Identity/Contact/Profile/Financial) data to assist with doing business with us and allowing us to offer credit facilities as requested.
- To process and deliver your order including manage payments, delivery of goods (Identity/Contact/Financial/Transaction) to perform a contract with you and necessary for our legitimate interests.
- To manage our relationship with you, which will include: notifying you about any changes to our Terms of Business and Privacy Policy, asking you to leave a review on our website via a third party requires (Identity/Contact/Profile/Marketing and Communications) to perform a contract with you, necessary to comply with a legal obligation, necessary for our legitimate interests to keep our records updated and to study how customers use our products/services.
- To administer and protect our business and its website including troubleshooting, data analysis, delivering relevant website content and advertisements to you and measure or understand the effectiveness of the advertising we serve to you, requires (Identity/Contact/Profile/Usage/Marketing and Communications) necessary for our legitimate interests to study how our customers use our products/services, to develop them and to grow our business.
- To make suggestions and recommendations to you about goods and services that may be of interest to you (Identity/Contact/Technical/Usage/Profile) necessary for our legitimate interests to develop products/services and grow our business.
- We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law).
- No data is sold to third parties.
- Comply with a legal or regulatory obligation; this means processing your personal data where it is necessary for compliance with a legal or regulatory obligation that we are subject to. We do not rely on consent as a legal basis for processing your personal data, other than in relation to sending third party direct marketing communications to you via email. Purposes for which we will use your personal data
We have set out a description of all the ways we plan to use your personal data, with the legal bases we rely on to do so.
Note that we may process your personal data for more than one lawful ground depending on the specific purpose for which we are using your data. Cookies
You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies. If you disable or refuse cookies, please note that some parts of our website/s may become inaccessible or not function properly. The cookies are used to keep track of the items in your shopping basket and act as place markers when you move around the site, so that you receive the best possible shopping experience.
Who we share your personal data with
We may have to share your personal data with the parties set out below for the purposes of processing an order for you and/or delivery goods to your nominated delivery address to fulfil an order or carry out a service for you or on your behalf. This may include:

No other personal data is used for this transaction or service we may use/provide. This is only provided as a legitimate interest for processing an order on your behalf. If you did not wish us to provide this information, we would not be able to fulfil a contract or order on your behalf.
Data security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have ensured that all data is stored securely. All data is stored on secure servers and held in password protected accounts. Our IT providers that carry out our external back-ups (we hold the backup data on firewalled servers with no remote access). Our IT Providers use secure, encrypted VPN tunnels to connect to our network; they encrypt all archived history drives with a secure password.
Unfortunately, the sending of information to us via the internet is not totally secure and we cannot guarantee the security of data that you choose to send us electronically and it will be so at your own risk.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
Data retention
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements.
In addition to processing your order, we also maintain an order history of your purchases. This allows you and us to track your deliveries and review your past purchases.
To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements. No fee required – with some exceptions
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable admin fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it.
We may also contact you to ask for further information in relation to your request to speed up our response. We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
